How to Send Effective Cold Emails in 2024? The Right Way, Yes.

As you probably noticed the IT design industry is flourishing due to the growing demand on companies to maintain their digital products practical and modern. This is a fantastic chance to expand your design/development firm and extend your connections. Many company websites need to be updated or redesigned. This specialist work is in great demand, whether a total redesign is needed, improving the overall user experience, or a WordPress transfer.

The Cold Email Approach

Reaching out to prospects using cold emails is not a new notion; salespeople have been doing so for years to create fresh leads for their companies. If you don’t have connections and you don’t know where to start the simplest and yet most effective way is cold email.

Cold email marketing is one of the most cost-effective methods to contact your prospects if you operate a web design firm and are ready to grow. Not everyone who gets your message will be ready to convert right away, but those who do, will likely become some of your most loyal clients.

How and where to find clients?

Finding clients can be difficult, especially if this is your first time approaching them. Prepare with a lot of patience, confidence, and calmness, because it can be difficult and nerve-wracking. Take this entire process as an experiment because there will be times when they might not answer, forget what they promise, and many other reasons.

Linkedin is one of the major sources that can offer you plenty of opportunities. However, how can you locate organizations to connect with? Here’s how:

linkedin.com
  1. Go to Linkedin.
  2. Click on the Search Bar and hit Enter.
  3. Select Companies (we don’t want jobs to find).
  4. Select Country, for example, North America.
  5. Select Company Size and let’s select a small to medium-sized (0-50, 50-200 employees) for this example. We suppose to believe that enterprises have their own IT department and they have impressive digital products.
  6. Let’s search them on Google to see what their websites look like.
  7. If you see that there is room for improvements or they don’t exist, we got a chance.
  8. Now we have to contact a decision-maker person from that company, so look for people who work in these companies.
  9. We can connect with them here on Linkedin or find their email addresses from various sources like hunter.io or rocketreach.com.
  10. Send the actual cold email.

The Perfect Cold Email Template

We looked at some of the most effective cold email marketing from web design firms worldwide. Feel free to personalize the text, but stick to the tried-and-true structure that has helped hundreds of web design firms acquire new clients through cold email.

Here are some of the key features that contribute to a successful cold email:

  • A cold email should be precise, appealing, and straight to the point.
  • The potential client should be able to see how you will benefit their business
  • We address humans, so a good idea is to be natural and avoid copied/pasted messages
  • Empathize with the one who receives the message. What would you expect to read?

Here are some facts that you need to take into consideration when cold mailing:

1. You don’t need need to apply a precise formula to get more clicks

What works in one company’s industry may not work in another. Depending on what’s being presented, the tone and style of the talk might differ dramatically. Adapt your script for each case and don’t target your clients with a cold email template from a different sector.

There’s no magical formula for cold emailing, and it’s not guaranteed that you’ll get a reply. You might send hundreds of emails and get no responses, or you might send one to the right person who needs a website or mobile app and get a response.

Don’t underestimate cold emails, they are a very powerful way to attract and close deals with clients all over the world. You could run an entire business beginning from them.

2. Speak like a genuine person

You can start off with a positive impact and immediately present particular advantages to the reader. It’s best not to use the cookie-cutter templates that your prospects are already sick of seeing. Emails that seem to be following a “formula” and are not individualized will rapidly find their way into the rubbish folder of the recipient’s inbox.

Rather than using formal language, employ the kind of dialogue that you would use in a real-life setting. Rather than being excessively sales, it is best to remain down-to-earth and personable at this time.

Don’t present your life story of how you started your own company because no one cares, but still make it clear who you are and what your can offer (try not using technical terms).

It’s not about you, it’s about them and how can we solve their problem, by presenting the benefits. A good example is:

Hi [Company Owner],

Hope you are well. My name is John and I am a web designer at [Company Name]. We are a dedicated team based in Bucharest, Romania, that provides professional web design & development services.

The reason I’m contacting you today is that I made a quick research and I saw that your company’s website looks well on mobile and the color scheme depicts an overall pretty look, however, it does not have the up-to-date professional aesthetics that it deserves. Would you be interested to shape your digital presence and differentiate yourself from competitors in the near future? If yes, let’s have a more detailed conversation, what do you say?

I know you have a lot on your plate, however, I would like to have a call this week, on Friday at 1 p.m your time. Might this be a good fit? If not, let me know your availability.

Thanks for your time,
John

Here are some important aspects that we have incorporated inside this example:

  • Introduction – who you are and what you can offer.
  • Positive impact – insert some real fact that works well on his/her company
  • Identify the problem – Outline some issues they’re facing.
  • Solution – why your company is the best suit for them.
  • Call to action – a meeting call, a phone call, a face-to-face meeting

No one desires to read long and boring messages where we proclaim how marvellous we are. Here, the primary purpose is to get a video call or a face-to-face meeting if he/she is in the same location as we are.

3. Position yourself as an investment rather than an expense

This is a very important part, it gathers clarity and helps them see the benefits. Your prospective clients must improve the user experience on their websites and ensure that their online presence accurately reflects their brand and attracts new visitors via organic traffic.

If you made progress and you obtained a call with the prospect, emphasize this term, investment. With your help, they can increase sales, especially if they want an e-commerce store, present their services in a professional way and finally communicate better with their customers (presentation websites).

Don’t sell your business cheap. Ask yourself this question: What is the value I’m providing? rather than What is the price of my services?

As Jordan Belfort says, there are three things you must be perceived as, in the first seconds when meeting up with a prospect:

  1. Sharp as attack
  2. Enthusiastic as hell
  3. Expert in your field

In the prospect’s mind, you are a person worth listening to, so in other words, they made time from their busy lives to meet a professional, and you cannot afford not to be prepared. If you gained credibility they allow you to take control of the conversation.

4. Point out specific problems with their current website

Another effective approach is to bring particular pain issues to the top of the discussion. Attention-getting techniques such as these are very useful in the web design sector. As you are aware, even a little adjustment to a company’s website may significantly influence its bottom line. Even though these guys are not tech-savvy, because we’re addressing business persons, they might forward this email to a technical person in their company.

Friends Working Discussion Meeting Sharing Ideas Concept

First, you have to research the current website and write down what things you could improve that would make a huge difference. It can be anything, from alignment to usability issues in the navigation menu, or a CSS problem on mobile resolution. Let’s go practical about this:

Hi [Company Owner],

My name is John and I am a web designer at [Company Name] (stick to web designer guys because some people don’t know yet what a UX designer means). We are a dedicated team based in Bucharest, Romania, that offers professional web design & development services.

I was looking over your website and I love the color scheme and the quality of imagery. A rare thing these days. In the meantime, I wrote down some suggestions that I think would improve the overall user experience:

  • Users have trouble clicking on the desired link in the mobile navigation menu because all the links are too close together.
  • On the shopping cart page, I can only see the updated prices and quantities only if I click the update button.

I would like to talk to you over the phone in order to establish the next steps? I think it would be much easier.

I could go on and on and I can propose specific changes that will fix these problems, but I would like to discuss them in detail in a meeting what do you say? I’m sure we can bring a positive impact to your digital product, increase conversion rates, and have an improved user experience.

Thanks,
John

5. Include your portfolio or personal website in your signature

A designer’s portfolio is a vital resource for acquiring clients and establishing credibility. Whether you use your website, Dribbble, or Behance, it is important to allow people to see your work.

Premiumuikits on Dribbble

In my opinion, portfolios are the best way to reel in new clients in the long run. I have had clients ask for websites that looked like mine on numerous occasions, and I hope you have too.

Thank you for your time,

6. Avoid using excessive terms in your writing

Another important fact that we should take into consideration when writing an effective cold email is to not overstate things. Remember that we’re addressing CEOs, managers, and decision-makers, and this is why it’s best to be natural and honest. They are smart people, they will get it right away, that we are trying to sell them in just a matter of seconds. Let’s look at some real-life examples:

Instead of this:

Hi [owner],

I just found (business name), and I am blown away by your work, particularly (project name).

We should put it like this:

I just found (business name) and I appreciate your work on this (particular project) because it helps me, present my services in a much more effective way (or another reason).

As you can see here guys, is better to explain why his/her work has impacted you and improved your life, and is best not to use hyperbolized terms. In this way we show them that this is not a template, we are real humans behind a computer and we appreciate their work and we haven’t fallen out of our chairs when we saw their latest project.

There are some people who still like these adjectives, but there are many that don’t like these words, especially coming from a stranger.

Bottom line

I think getting clients these days can be quite easy exclusively when you have a strong portfolio. Getting quality clients is a rare thing though. No matter who you’re dealing with, if you put your attention on how can you help people rather than focusing on profit, good things will start to happen.

I know that this sounds like a fairy tale, but believe me, if you’re doing your best to create awesome designs that convert, people will come to you.

What are the most common problems you’re dealing with, when cold emailing? Do you have any ideas that I could add?
